  • Do Not Add Personal Outlook Appts on Dispatch Bd to 'Hours Scheduled' or '% Utilized'

    We would like to have PERSONAL Outlook appointments appear on the Dispatch Board WITHOUT them adding into the total # of hours scheduled for a day nor increasing the % of utilized time.

    We have numerous Professional Svcs and Project Mgmt Reps that are scheduled on Service Orders for an entire day or part of a day and at the same time may have rec'd an invite from a Customer for a phone call/conf call for an hour as an example and if they accept it, it now synchs to the Dispatch Board as a personal item thereby skewing the total # of hours scheduled and the % they are utilized. Because their conference calls change quite frequently, it would really cause much more administration and confusion to have to create a task in TP for these as they have already accepted them through Outlook on their calendars.

    Is this something we can look to in the next release of TP?

    Good thoughts....
    we have a related challenge - and would to avoid double time entry and use our Outlook Calendar Appointments connected back to the Client. Such as #1 TP reassign "personal item" to customer/service order so time is billed properly, or #2 allow users to put a field in the calendar entry (such as [#20020] which ties to the appropriate customer project service order.

      The percentage shown on the dispatch board, is what percentage of the rep's available time has been scheduled. I will put a request on the backlog not to count multiple tasks scheduled for the same time as separate time. This would have to be an option you could set on the dispatch board.

      The tasks that sync over from Exchange are tied to the applicable reps' personal account, I think allowing the account field to be editable so a user could reassign which account it applies to would be a doable thing. Then the user can select which SO for that account to tie that task to. I will add this to the backlog to be reviewed by our stakeholders as well.
